Excellence in Healthcare IT Services

HIPAA ePHI Security Audit, Breach Reporting & Support

Our HIPAA Electronic Protected Health Information (ePHI) Security approach is based on the concept of giving health organizations the training and tools necessary to implement and maintain an effective HIPAA ePHI Security Process without the need to outsource HIPAA ePHI Security oversight.

On-Site Audit
Since no two healthcare providers systems are the same, Excellence in Healthcare conducts on-site, in-depth HIPAA Security audits of all applications, hardware, communications/networking, back-up/recovery processes and user behavior to assess the following:

  • Protected Health Information Software/Applications
  • Transferring of Data
  • Hardware/Media
  • Policies & Procedures

HIPAA ePHI Security Process Recommendation
After the on-site audit, Excellence in Healthcare will provide our recommendation to implement a HIPAA ePHI Security Process including:

  • Best Practices/Procedures
  • Training
  • Monitoring
  • Corrective Action & Breach Reporting

Optional On-Going Support
After the on-site audit and process recommendations, Excellence in Healthcare can provide additional information and support to the designated HIPAA Security Manager

Meaningful Use Assessment

Excellence in Healthcare can assess if the providers will qualify for and meet Meaningful Use for the ARRA incentive. The analysis includes system and workflow capabilities to meet the objectives and clinical quality measures required for successful attestation. The analysis is provided at no additional charge to our HIPAA ePHI Security clients.

Meaningful Use Attesting Support

The meaningful use attestation process is complex and if an organization is not prepared, attesting and incentive payments can be delayed for months or even a full year. Excellence in Healthcare has helped clients attest for meaningful use and receive their first incentive payments. The Meaningful Use Attesting Support assists clients with:

  • Preparing for attestation
  • Completing and documenting non charting objectives
  • Requirements of each meaningful use objective
  • Addressing common errors that lower scores
  • Attestation audit documentation

EHR Selection & Implementation

With over 400 EHR vendors, selecting an EHR software solution can be overwhelming. Excellence in Healthcare will assist with the EHR selection and implementation process and help avoid unexpected fees and hidden expenses. The selection and implementation process includes:

  • Project Planning
  • Creating flowcharts of key processes
  • Assessing & documenting existing workflow
  • Determining system requirements
  • Identifying existing information to be included
  • Developing vendor list & vendor selection
  • Vendor contract negotiation
  • EHR installation & system testing
  • Staff training

Electronic Records Backup, Archive & Retrieval Strategy

In the past, physicians archiving paper records had to only worry about the physical location and condition of the paper record. With an EHR a physician has to worry about how to retrieve a digital record that was created with a software or version no longer being used and even how to keep an audit trail to prove a record was not tampered with.

As compliance requirements for archiving records become more stringent, and more records become digital, changes in technology and software programs may make retrieving digital records almost impossible in 10-15 years without proper planning. In addition, even properly maintained backup tapes and other media won’t last forever requiring records to be periodically reloaded. Having a seamless archive and retrieval strategy is imperative. Excellence in Healthcare will assist in setting up an electronic records backup, archive & retrieval strategy including best practices for maintaining an end-to-end chain of custody throughout the record lifecycle.
